Finnish VAT partner
A Finnish VAT partner for VAT firms and accounting firms
We work with VAT agencies, fiscal-representation networks and accounting firms whose clients' Finnish VAT has to be handled: the registration, the VAT returns and the EC Sales Lists, filed by the due date. You decide how visible our role is to your client. We work with you in English, Finnish, Hindi or Nepali, and with the Finnish Tax Administration (Verohallinto) in Finnish.
Who we work with
- VAT agencies and compliance providers that file VAT in several countries and need someone in Finland for their clients' Finnish registrations.
- Fiscal-representation networks looking for a Finnish firm for registrations and returns. Note, however, that Karma Accounts is not an approved VAT representative under section 173 a of the Finnish VAT Act. Where a non-EU client's voluntary registration requires one, we can't serve as the required approved representative; that role has to be arranged separately. Our article on the VAT representative in Finland explains when that is.
- Bookkeeping and accounting firms, in the EU and beyond, with a client that has started selling in Finland.
What we handle for your clients
- We check whether a Finnish VAT registration is needed at all, and register the company with the forms that fit its legal form and any existing Finnish registrations, typically start-up notification Y1 with enclosure 6204.
- We file the VAT return for every period in MyTax (OmaVero), including periods with no activity, and send the amount to pay with the payment details before the due date.
- We file the EC Sales List (yhteenvetoilmoitus) for reportable intra-EU supplies of goods, and services to EU businesses taxed under reverse charge.
- We explain letters and questions from the Tax Administration and answer them as far as the answer follows from the records we handle.
- We deregister the company and file the remaining returns when its activity in Finland ends.
How Finnish VAT works for a foreign company is set out in our articles on registration and VAT returns, which you are welcome to share with your clients.
Responsibilities and communication
- Who talks to the client. You can stay the client's main contact if you wish: we then work through you and contact your client only as agreed. Or we deal with the client directly. How we work is always agreed in writing for each company.
- One engagement per company. Each client company is a separate engagement whose scope is agreed in writing. We set up the right Suomi.fi authorisation route for its tax matters at onboarding; without Finnish personal identity codes, the authorisation is applied for with documents and takes extra time.
- One data file per period. For each company and VAT period you send one file in our template, a sales and purchase listing, plus supporting documents when needed. We raise questions before we file, not after.
- Cut-off dates in writing. The VAT return and payment are due on the 12th of the second month after a monthly or quarterly period, the EC Sales List by the 20th of the following month; a due date on a weekend or public holiday moves to the next business day. We agree in writing the date by which each file reaches us, and we meet the due dates when complete records and authorisations reach us by that cut-off.
Onboarding and compliance
Finnish anti-money laundering law applies to accounting firms. Before we start on a company, we identify the company, the people acting for it and its beneficial owners. Even when the client comes to us through you, we may need to contact the client company directly for this; we tell you exactly what we need. The partnership rests on a written agreement, with a data processing agreement where our roles require one.
Pilot and pricing
We do not publish prices for partner work. The partner terms are sent on request; they depend on the number of companies, VAT periods and transaction lines, and on which of us handles the client contact. Foreign VAT work is new for us, so the first clients run as a pilot, and during the pilot we take on a limited number of foreign clients. Each engagement starts once its scope is agreed in writing and we have confirmed that our insurance covers it.
Contact
Contact us through the quote request form (choose “VAT agency or accounting firm (partnership)” as the business form) or by email at contact@karmaaccounts.fi. Tell us which countries your clients come from, roughly how many Finnish registrations and VAT periods you expect, and how you would like to share the work. A foreign company asking for itself can start from our page on Finnish VAT services for foreign companies.
Tell us about your clients
Say where your clients are established, roughly how many Finnish VAT registrations you expect, and which of us should talk to the client. You get the partner terms in writing.
