Accounting company

An accounting company in Finland for small businesses

Karma Accounts Oy is a Helsinki accounting company for sole traders and small limited companies anywhere in Finland: bookkeeping, VAT, payroll, financial statements and tax returns, online, in English or Hindi, from 69 euros a month.

An accounting company keeps your books, files your VAT and payroll reports, and prepares your financial statements and tax return, so that the Finnish authorities get what they need on time and you know where your business stands. I do that for small businesses across Finland, online, for a fixed monthly price that does not count your receipts. The person who does your books is the person who answers your email.

Most clients take all of it. You can also take one part, for example payroll only.

How to compare accounting firms in Finland

Price lists look alike. The differences are in what the monthly fee leaves out. These are the seven questions worth asking any accounting firm, mine included.

Seven questions to ask an accounting firm, and my answers
AskWhy it mattersMy answer
How is the monthly fee set? Many firms price by the voucher: the fee covers a set number of receipts, and each one over it costs about five euros, so a busy month costs more.By turnover, with no voucher limit: 69 € a month for a sole trader, 199 € or 249 € for a company.
Is the year-end in the price? Many monthly fees leave out the financial statements, which then arrive in the spring as a separate bill, commonly a few hundred euros.Yes. The financial statements and the tax return are in the monthly fee.
Who pays for the software?About a third of firms bill a software licence on top of the fee.I do. No licence on top, and nothing to keep paying if you leave.
Who actually does the work?Ask whether the person who answers your email is the person who does your books. One accountant, start to finish. Nothing is outsourced.
Which language do they work in?The filings are made in Finnish. What matters is whether you understand what was filed and why.English or Hindi with you, Finnish with the authorities.
Is the firm what it says it is?Search the business ID at ytj.fi. It is free, and it shows whether the firm is in the prepayment and VAT registers.Business ID 3651800-4: in the Trade Register, the prepayment register and the VAT register.
What happens if you leave?Notice periods and exit fees are where a cheap contract turns expensive. No start-up fee, no minimum period, no notice beyond the month you are in, and your books go with you.

There is no official ranking of accounting firms in Finland, and I will not call mine the best. If a firm's answers to these questions suit your business, it is a good choice for you. The longer version of this checklist.

What it costs

One fixed monthly price, set by your turnover, with no limit on receipts. Prices are without VAT; 25.5 % is added.

Prices without VAT
WhatPriceWhat it covers
Sole trader69 € / monthBookkeeping, VAT returns, the business tax return at year-end, the accounting software, and the answers in between. No limit on receipts. Above 240 000 euros of turnover the company prices apply.
Turnover up to 240 000 €199 € / monthBookkeeping, VAT returns, the financial statements and the tax return at year-end, the accounting software, and the answers in between. No limit on receipts.
Turnover over 240 000 €249 € / monthThe same work for a bigger business. Still one fixed figure, still no limit on receipts.
Payroll15 € / runPayslips, the Incomes Register report within five days, and the payments due on the 12th. Charged only in the months a payroll is actually run, whether that is once a year or every month.

The monthly price is the yearly price divided by twelve, with nothing waiting in the spring. A sole trader pays 828 euros a year, a company 2 388 up to 240 000 euros of turnover and 2 988 above it, plus 15 euros for each payroll run. Compare that with the whole of what you pay now: many monthly fees in this market exclude the financial statements, commonly a few hundred euros, and about a third of firms bill the software separately on top.

Who I work with

Sole traders (toiminimi) and small limited companies (Oy) anywhere in Finland: consultants and freelancers, delivery and courier drivers, restaurants and small shops, and founders who moved to Finland and run their business in English. I do not audit, I am not a lawyer and I do not give investment advice; if you need one of those, I will say so.

How we start

  1. A free introduction. Half an hour online, or a few emails, about what your business does and how the receipts arrive today.
  2. A written price, and identification. You get the scope and the fee in writing before anything starts, and I verify your identity, which Finnish anti-money-laundering law requires of every accounting firm.
  3. Access, not paperwork. You approve a Suomi.fi mandate so I can file for you, and give me access to the bank statements. How the mandate works.
  4. Switching mid-year. We agree the handover date, I ask for the books and balances so far, and I check them before carrying on.

Questions about choosing an accounting company

Do I have to use an accounting company in Finland?

No. Every business, a sole trader included, must keep books under the Accounting Act, but the law does not say who keeps them. Most people use an accounting company because the returns, deadlines and year-end take time and are expensive to get wrong.

How much does an accounting company cost in Finland?

It depends on how the firm prices. Many charge a monthly fee that covers a set number of receipts, plus about five euros for each one over it, and some bill the financial statements and the software separately. With me a sole trader pays 69 euros a month and a company 199 or 249, with the year-end and the software included. VAT of 25.5 % is added.

Which is the best accounting firm in Finland?

There is no official ranking. The best one for you is the firm whose answers to the questions above fit your business: how the fee is set, what it leaves out, who does the work and in which language. I would rather you checked me against that list than took my word for it.

Do you work with clients outside Helsinki?

Yes, anywhere in Finland. The firm is in Helsinki and the work is online, so we meet by video or email rather than across a desk.

Can I switch accounting company in the middle of the year?

Yes. We agree the handover date, I ask for the books and balances so far, and I check them before carrying on. Your books are yours, and they go with you if you ever leave me too.

Which languages do you work in?

English and Hindi with you, Finnish with the authorities. The filings go in Finnish, and Finnish letters are explained to you in substance. Working with an English-speaking accountant.
